Holding Meetings

Meetings should be a means to an end. They should be used as one of the tools at the committee’s disposal to get agreement amongst the people involved and to agree the next actions. They should not be seen as an end in themselves. To be effective, meetings should allow for a free exchange of ideas and participation from everyone involved. There also needs to be a reason for meeting and decisions and agreements made at any meeting need to be followed up with action. No-one is going to come to meetings which serve little purpose.

Managing a community group or project will usually mean that your committee members will need to get together sometimes. These will be your committee or board meetings. There will also be annual general meetings where all the members have a chance to hear about the year’s progress and make plans for the coming year.

Your constitution will include how regularly the committee needs to meet, along with guidelines for holding an annual general meeting. It should also include the procedure for giving people notice of when meetings are to take place and what you need to do to call an emergency general meeting (EGM) should the need arise.  Your constitution will also set out the minimum number of attendees required (quorum) to make a meeting viable.
